Who We Are

The Office of the Vice Provost and Dean of Research facilities team provides ongoing operations and maintenance support for DoR buildings and their occupants.  We work closely with Stanford Buildings and Ground Maintenance (BGM), Environmental Health & Safety (EH&S), and other DoR teams to ensure a healthy, safe and productive environment for research and learning.  Facilities coordinates building and infrastructure maintenance and improvements within its buildings, as well as ensures accurate accounting and management of university property and space.

Emergency Information

The DoR facilities team relies on community members to help be the eyes and ears of the university in an emergency.  Quick reaction and effective communication are critical.  

  • CALL 9-1-1 for life-threatening emergencies or to report a crime in progress.

  • Call your building manager or 650-723-2281 for urgent facilities issues.

The university provides numerous tools to help guide and inform Stanford community members through a variety of possible crises.

Building & Grounds

The DoR facilities team coordinates with Buildings & Grounds Maintenance (BGM) for the delivery of building maintenance services in a timely and cost-effective manner with minimal disruption to faculty, staff, and students.  Your building manager works with BGM for immediate repair needs, as well as major maintenance projects, and is the main point of contact for almost all facilities-related issues.

  • Operations Center & Work Control - Operations dispatches facility-related response and urgent call services for all functional spaces and grounds at Stanford 24/7.  For urgent facilities issues day or night, call the Operations Center & Work Control at 650-723-2281.

  • Zone Management - “Zones” coordinates the delivery of building maintenance services, and are Program Managers for major facilities projects and repairs.

  • Event Services - Event Services provides rental equipment and services for hosting small and large events, and can even assist in the planning and managing of your event.  Event Services also provides office and departmental moving services.

  • UG2 Custodial Services - Cleaning and trash pickup occurs on a regular basis in each building as part of Stanford’s contract with UG2.  The frequency of each task depends on the type of room or area that is being serviced.  Additional custodial services may be requested at a cost.

  • PSSI Recycling - PSSI collects and disposes of Stanford trash, as well as collects and processes waste and recyclable materials.

  • Building Shut-Downs - A shutdown is a scheduled temporary interruption of a utility or building operation for the purpose of maintenance, repair, testing,  and/or replacement of equipment.

Building Access

DoR facilities team members control secure building access through card-key and hard-key management.  The requirements for facility access vary from building to building.

Consult the appropriate building manager for access requests.

Building Safety

The DoR facilities team is in charge of the day-to-day operations of its buildings. The team works together with Zone Management, Buildings and Ground Maintenance, Environmental Health and Safety, Public Safety, the Stanford University Fire Marshal’s Office, and building occupants to ensure DoR facilities are safe and secure.

We implement best practices for general building processes and activities not directly related to labs, and keeps building occupants notified of possible impacts and safety issues during maintenance and construction projects.  

Facilities team members ensure their building are in constant compliance with fire regulations.  We work with SUFMO to annually inspect DoR buildings for fire code compliance, and with Buildings and Grounds Maintenance to correct any deficiencies.  Team members are also responsible for ensuring building First Aid kits, Automated External Defibrillators (AEDs) and mass trauma stations are regularly inspected and stocked.

Environmental Health & Safety (EH&S)

The Department of Environmental Health and Safety is the principal health and safety office at Stanford University.  EH&S works closely with the University Safety Partners, the faculty and managers in the research community and operational units, safety coordinators and safety committees, and departmental and central administrators.
 

Department of Public Safety

The Stanford University Department of Public Safety exists to provide a safe, secure atmosphere which is conducive to freedom of expression and movement, for people and their property at Stanford University, within the constraints of the Federal, State, and Local laws and ordinances.

  • CALL 9-1-1 for life-threatening emergencies or to report a crime in progress.

  • Call 650-329-2413 for non-emergency response such as theft, vandalism, or a public safety concern that has already occurred.  

Stanford University Fire Marshal’s Office (SUFMO)

The Stanford University Fire Marshal’s Office provides services to the Stanford community encompassing all aspects of Fire Safety.   SUFMO provides Fire Protection Engineering, Education, Maintenance and Inspection services to the university.   

  • CALL 9-1-1 to report a fire.

Lab Safety

Each DoR laboratory poses a unique set of hazards, including chemical, biological, physical, and radiological dangers.  The facilities team is here to support all DoR labs, however it is the responsibility of the lab PI, managers and members to 

  • understand the hazards within their lab

  • know the location and proper use of emergency equipment

  • use proper personal protective equipment (PPE) and engineering controls

  • properly label, transport and store lab chemicals and other lab substances

  • implement an appropriate buddy system for lab work

  • manage their inventory of chemicals and hazardous materials

  • perform and document all required training and inspections

DoR Environmental Health & Safety (EH&S) provides online lab tracking and management tools such as ChemTracker, BioRAFT, Waste Tag and Lab PPE Assessment.  The County of Santa Clara regularly inspects Stanford buildings and labs to ensure the university is properly abiding by regulations involving the handling, storage and disposal of hazardous materials.

Incident Reporting (eSU-17)

Stanford is committed to keeping a safe environment for its employees, students and visitors.

Incidents involving injury/illness or close-call events must be reported here within 24 hours of occurrence.  This reporting helps identify possible hazards and opportunities to improve our future safety.

  • IMPORTANT! Any injury resulting in death, permanent disfigurement, dismemberment or hospitalization expected to last more than 24 hours shall be reported immediately to EH&S at 650-725-9999.

Property Management

The DoR facilities team works with the Property Management Office (PMO) for administration of assets owned by Stanford, the federal government and other research sponsors.  Many DoR facilities team members act as Department Property Administrators (DPAs).  DoR DPAs provide guidance to department personnel concerning the acquisition, transfer, ownership, maintenance and disposal of property.  

DPAs also establish and maintain property records for their departments on behalf of the university.  Stanford is required to track all capital assets from purchase to retirement.  A capital asset is an individual, stand-alone, moveable, tangible item valued at $5,000 or more, with a useful life of at least 1 year.  

  • If you intend to acquire anything worth $5,000 or more, it is likely a capital asset.  Be sure your department DPA is aware -- they will need to tag and record the asset in Stanford’s Sunflower Asset Management System.

  • If you intend to dispose of any equipment or property, especially if the property has a Stanford barcode tag, you should also be sure your department DPA is aware.  There are specific processes for the tracking and disposal of equipment.

If you are unsure who your DPA is, ask your building manager.

Every two years, DoR DPAs partner with the PMO to conduct an extensive and thorough physical inventory of DoR property, with an expectation that a minimum of 98% of all capital assets will be located.  

Space Management

Many DoR facilities team members act as departmental Space Coordinators.  Space Coordinators ensure information regarding how DoR space is used and occupied stays up-to-date in Stanford’s iSpace inventory system.  iSpace is a perpetual data system that can be updated any time DoR space changes occupants, usage or funding.  

The Office of Research Administration's Cost and Management Analysis (CMA) group negotiates Facilities and Administrative Cost Rates and Fringe Benefits Rates with the Office of Naval Research, and relies on accurate iSpace Inventory data in the allocation of building-related costs that impacts the recovery of millions of dollars to the University.

Every two years, DoR Space Coordinators partner with the CMA group to conduct an extensive and thorough inventory and certification of DoR space.  The biennial Space Inventory process now utilizes the Electronic PI Lab Use Survey (ePLUS) tool, which allows faculty to submit their space usage information to Space Coordinators online.  

Project Management

While large construction and maintenance projects are overseen by the Stanford Land, Building and Real Estate (LBRE) Department of Project Management, the DoR facilities team will often manage smaller building and infrastructure improvement projects with our own staff.  These projects are known as Departmentally Managed Projects, or DMPs.   

LBRE’s Project Management Resources provides tools and training regarding university policies and procedures for schools and departments to manage DMPs.  During a project, DoR facilities may work with our hired contractor or with Project Management Resources to serve as the point of contact for necessary county permitting.

During a project, DoR facilities team members are the liaisons between contractors and customers, and keep the entire building informed of construction work and potential impacts.
